A wholesale application moves faster when the retailer can answer the operational questions behind the form. This checklist helps store owners prepare business information, buying responsibilities and delivery requirements before requesting account access.
Confirm the legal business record
Use the legal business name that appears on resale, tax and licensing records. Keep the operating name or DBA available as a separate field instead of substituting it for the legal entity. The address, contact name and email should match the records your team expects the distributor to use.
Requirements vary by location and product type. Treat the supplier application as a starting point, not proof that a product can be resold in every destination.
Assign purchasing and receiving contacts
Name one person who can approve assortment and quantity decisions, one person who can answer billing questions, and one contact for receiving exceptions. In a small shop these may be the same person, but the responsibilities should still be explicit.
Use a shared business inbox when possible. A role-based address reduces delays when an employee is away and gives the store a stable history of quotes, order confirmations and product questions.
Define the first-order brief
Use the wholesale catalog to list the categories you need, the space available, the preferred pack size and the maximum opening quantity. Separate must-have replenishment from test products. This gives sales a practical way to discuss fit without guessing at the store plan.
Do not rely on a product name alone. Record brand, exact item, format, strength or variation, and expected quantity. Product packaging and naming can be similar across lines.
Prepare delivery constraints
Document receiving hours, lift-gate or access limitations, and the person authorized to sign. Verify the ship-to address before the first order and explain any difference between the legal address and delivery location.
A receiving plan should also state how quickly cartons will be counted and how damage, shortage or mismatch will be documented.
Account-readiness worksheet
Complete one row for each record before starting an application. The “checked by” field should name the person responsible for confirming that the record is current; it is not a substitute for legal or compliance review.
| Record | What to verify | Owner | Checked date |
|---|---|---|---|
| Business identity | Legal name, DBA and business address are separated correctly. | Owner or administrator | YYYY-MM-DD |
| Resale and tax records | Names, numbers, jurisdiction and expiration details match the application. | Compliance or finance | YYYY-MM-DD |
| Buying brief | Categories, exact product requirements, test limits and budget owner are documented. | Buyer | YYYY-MM-DD |
| Ship-to record | Address, receiving hours, access limits and receiving contact are confirmed. | Receiving lead | YYYY-MM-DD |
Keep sensitive documents in the supplier’s approved submission process. An ordinary contact form should be used for questions, not for transmitting payment credentials or unnecessary identity records.
